This Privacy Policy describes how Aries Labs LLC ("Company," "we," "us," "our") collects, uses, and shares information when you use Aria, our AI financial intelligence platform ("Service"). By using Aria, you agree to the practices described in this Policy.
Account information: When you sign up, we collect your name, email address, and practice information.
Financial data: With your explicit authorization, Aria connects to your QuickBooks Online account and/or bank accounts via Plaid to retrieve financial data including profit & loss statements, balance sheets, revenue, expenses, and accounts receivable. This data is used solely to generate insights within the Service.
Usage data: We collect information about how you interact with Aria, including questions asked, features used, and session activity. This helps us improve the Service.
Technical data: We automatically collect IP addresses, browser type, device information, and log data when you use the Service.

We do not use your financial data to train AI models for any purpose other than providing you with the Service.
Intuit QuickBooks: When you connect your QuickBooks account, Aria accesses your financial data through Intuit's OAuth2 API. Your QuickBooks credentials are never stored by Aries Labs — we store only the access tokens required to retrieve your data. Intuit's privacy policy applies to data held by Intuit.
Plaid: When you connect bank accounts, Aria uses Plaid to retrieve transaction and balance data. Plaid's privacy policy applies to data processed by Plaid.
AWS: Aria is hosted on Amazon Web Services in the US-East region. A signed Business Associate Agreement (BAA) is in place with AWS. Data is encrypted in transit and at rest.
Anthropic / AWS Bedrock: Aria's AI responses are powered by Claude via AWS Bedrock. Financial data included in prompts is processed by Anthropic's API subject to Anthropic's data processing terms.
We do not sell your personal or financial data. We may share information only in these circumstances:
We retain your account and financial data for as long as your subscription is active. Upon termination, we retain data for up to 90 days before permanent deletion, unless you request earlier deletion. Conversation history is retained to provide continuity of service and may be deleted at your request.
We implement industry-standard security measures including TLS encryption for data in transit, encryption at rest for stored data, access controls and authentication, and regular security reviews. However, no system is completely secure and we cannot guarantee absolute security.

Aria is designed for dental and medical specialty practices. While Aria connects to financial systems (QuickBooks, bank accounts), it does not directly access or store Protected Health Information (PHI) from practice management systems. If you believe PHI may be involved in your use of the Service, please contact us to discuss appropriate data handling arrangements.
Aria is intended for use by business owners and practice managers. We do not knowingly collect personal information from individuals under 18 years of age.
We may update this Privacy Policy from time to time. We will notify you of material changes via email or a notice within the Service at least 14 days before changes take effect.
